World Card for Employee Travel
Introduction
Global Spend's World Card capability can be leveraged by enterprises that need to manage employee travel and business expenses with centralised control and real-time visibility. The use case described in this section is targeted towards corporate finance teams that need to replace manual reimbursement processes with automated, policy-compliant expense management.
For example, a multinational company with 8,000+ employees who frequently travel across Southeast Asia can replace the process of employees advancing personal funds for business travel and then submitting expense reports, by issuing World Cards linked to a World Account balance with per-card spending limits and MCC controls.
Example
Let's say you are a global technology company with employees who frequently travel for business across Southeast Asia. Previously, employees had to pay for Grab rides out of pocket and submit reimbursement claims — a slow, error-prone process that created friction for both employees and finance teams.
The high-level user journey looks like the following:
- The finance team creates a World Card through the WorldFirst Portal, funded from the World Account USD balance.
- The World Card is bound to the corporate Grab for Business account as a payment method.
- Employees use Grab for business rides across 8 Southeast Asian countries.
- Each ride is charged to the World Card in real-time, with transactions settled in the local currency (MYR, SGD, THB, etc.).
- The finance team reviews consolidated card transaction statements for reconciliation.
Building it with WorldFirst
Onboarding the entity
The first step is onboarding the corporate entity to the offshore site via WorldFirst's offline onboarding process. The Merchant Service team will guide you through KYB and compliance checks. Once approved, the entity receives a World Account with USD balance.
Applying for a World Card
After onboarding, the finance administrator applies for a World Card through the WorldFirst Portal:
- Navigate to World Card in the main navigation.
- Select Virtual Card and choose the cardholder name (a verified director or authorised non-director).
- Set a card nickname (optional) for easy identification.
- The card is issued instantly with a card number, CVV, and expiry date.
Funding the World Card
The World Card draws directly from the World Account balance — no separate top-up is needed. For the Grab use case, the finance team tops up the World Account USD balance via incoming collections or transfers. If the balance is insufficient, card transactions will be declined.
Tip: Set a low-balance alert at a threshold (e.g., 100,000 USD) to ensure timely top-ups before the balance runs low.
Binding the World Card to Grab for Business
The finance administrator logs into the Grab for Business (GFB) portal and adds the World Card as a payment method:
- Enter the World Card card number, expiry date, and CVV in the GFB payment settings.
- Bind the card to individual employee profiles for ride bookings.
- Each employee ride is charged in real-time to the World Card.
Transaction flow
When an employee books a Grab ride:
- The ride amount is charged to the World Card in the local currency (MYR in Malaysia, SGD in Singapore, etc.).
- If the card holds a USD balance, Mastercard's scheme rate converts the local currency to USD.
- WorldFirst applies 0% FX fees for supported currencies; competitive rates for others.
- The transaction is settled immediately (T+0) with Grab's acquirer.
- The finance team receives a real-time webhook notification with transaction details.
Reconciliation and reporting
For monthly reconciliation:
- WorldFirst provides a detailed card transaction statement via the Statement API, including merchant name, MCC, transaction amount, settlement amount, and FX rate.
- Grab's Transaction API provides complementary ride details (pickup location, dropoff location, employee ID, trip type).
- The finance team cross-references both datasets to verify expense compliance.
- Discrepancies are handled via Grab's dedicated corporate support channel.
Spending controls
To prevent misuse, the finance team can:
- Set per-card spending limits to cap daily or monthly expenditure.
- Configure MCC restrictions to allow only transportation-related charges.
- Set card validity periods aligned with pilot phase timelines.
- Monitor transactions in real-time and freeze cards instantly if suspicious activity is detected.
Scaling the programme
After a successful pilot phase with 25 employees, the programme can be expanded:
- Issue additional World Cards for new employees through the Portal.
- Integrate with HR systems via Grab's Employee Management API for automated onboard/offboard syncing.
- Extend to other business expense categories (ad spend, SaaS subscriptions, cloud services) using the same World Card infrastructure.
