Supplier Payments & Payroll
Introduction
Global Spend can be leveraged by enterprises that need to make cross-border supplier payments and distribute payroll to overseas contractors. The use case described in this section is targeted towards businesses that collect revenue in one currency and need to disburse funds to suppliers, partners, or contractors in multiple currencies and countries.
For example, a Hong Kong-based education company with teachers located across the US, UK, Australia, Singapore, New Zealand, and South Africa can increase financial efficiency by replacing slow, expensive SWIFT transfers with WorldFirst's local clearing network payouts, while maintaining a single multi-currency World Account for collections and disbursements.
Example
Let's say you are an online education platform headquartered in Hong Kong with contracted teachers around the world. Each teacher previously had to wait days for SWIFT-based salary payments, and your finance team had to manage multiple banking relationships across countries.
The high-level user journey looks like the following:
- The education platform receives student payments in USD through its World Account VA.
- Teachers submit invoices in their local currencies (USD, AUD, SGD, NZD, GBP, ZAR, etc.).
- The finance team views consolidated balances and initiates payouts.
- Payouts to US teachers are routed via ACH; payouts to UK teachers via FPS; payouts to Australia via NPP RTP; payouts to Singapore via FAST RTP.
- Each teacher receives their payment in local currency on the same day or within 24 hours.
Building it with WorldFirst
Onboarding and account setup
The first step is opening a World Account at the Hong Kong entity and completing KYB. Once approved, the account receives multi-currency VA capabilities for collections and payouts.
Funding the World Account
The education platform collects student payments in USD into its World Account VA. The USD balance serves as the funding source for all outbound teacher payments. If a teacher's invoice is in a different currency, WorldFirst FX automatically converts at a competitive rate.
Configuring payout routes
With the World Account active, configure payout routes based on teacher locations. For example:
Managing beneficiary information
Before initiating payouts, add each teacher as a beneficiary with their bank account details. WorldFirst's Beneficiary Management API supports creating, editing, and deleting beneficiaries programmatically. Once a beneficiary is verified, payouts can be initiated immediately.
Initiating payouts
Use the Single Payout API for individual teacher payments, or the Batch Payout API for monthly payroll runs of up to 200 transfers per batch. Each batch supports a single currency and payout country. If currency conversion is needed, a Spot FX quote is applied at competitive rates.
Handling compliance and reconciliation
For regulatory compliance and audit purposes:
- All payouts are recorded with full audit trails including transaction IDs and clearing network details.
- Transaction statements can be retrieved via the Statement API for each payout individually, or downloaded in bulk for reconciliation.
- Webhook notifications provide real-time status updates on each payout.
China-specific considerations
For teachers based in mainland China, the Pay CNY to China capability enables CNY settlement. Underlying transaction data (seller ID, order details, shipment information) must be provided to comply with China's State Administration of Foreign Exchange (SAFE) regulations. This data can be submitted via API or SFTP file exchange.
